      Key Responsibilities: Assist in the management of human resources Assist in the management of general administration functions Supervision of cooks and cleaners of the office and expat houses. Visa, passport and NoC’s follow up for the International staff.Specific Duties: Assist in the management of human resources Assist in the recruitment process (preparation of the candidates list, facilitation in conducting the test/interviews, calls or emails for test interviews/results etc) Assist HRM in implementation of Internal Regulations, MSF Policies and procedures Prepare payroll information and payroll using HOMERE for Islamabad Employee's contract follow-up Plan and follow-up of holidays and leaves for national staff Assist in disciplinary and resignation process in collaboration with the HR Coordinator Keep a regular contact for project national staff routine issues. Assist in the management of general administration functions Support Admin Officer in filing and archiving of the documents Assist HR Manager for processing the premises rent, insurance and payments timely to the finance department and to the concerned clients. Responsible for the proper archiving & filling of the national staff personal files for Islamabad and the contracts received by the projects.  Compile and send monthly HR/Admin checklist to finance department every month.  Collection of the official notification for any announced public holiday from the ministry of Interior – public office well in time. Supervision of cooks and cleaners of the office and expat houses  Assist in drafting of monthly reports Update of coordination Organigram Show less - Administrative Support for internal and external communication and administrative paper work. • Record and manage all incoming and outgoing mails of the department, including dispatches • Request and follow up of appointments / communication • Assist in updating of mission contact list and disseminate to concerned staff / department upon approval of HRCo Assistant (IS) • Develop and update stakeholder contact list for HR & Admin department • Ensures provisioning of mobile phone and sim card for all expatriates and visitors • Assist in the arrangement/scheduling of expat briefing /debriefing agenda for coordination • Prepares Perdiem, Security money and Cloth allowance sheets for International staff and visitors • Is responsible for the preparation of arrival of expatriates (Welcome letter, contact list and phone) • Assist HRCo Assistant (NS) in the preparation for staff meetings, events and trainings • Assist HRCo Assistant (NS) in communication sharing with other departments and sections (i.e memos, vacancy notices etc) - Facilitation in travel, accommodation & visa arrangements for MSF Staff / Visitors • Arranging expat accommodation at expat staff house (s) and or guest house. • Assist in updating daily mission domestic/international movements including intersectional movement file and sharing with concerned staff / departments after approval of HRCo Assisstant (IS) • Assist in the preparation of visa documents for national and expatriate staff • Focal person for submission of visa, official correspondence and related documents to the concerend authorities/ departments as required by HR & Admin department. • Assist in registration of international staff with their respective embassies. • Assist in organization of international travel (R&R and trainings) and visa procedures of international staff. • Arrange approved flight booking requests with the travel agent and send ticket to the relevant person upon the approval of HRCo Assistant (IS).
