   Implement procedures and guidelines as described in Company Quality manuals and other instructions as issued by management Plan and maintain systematic method to gather committed and actual cost information for spares, stores and services for vessels in Project, allocate and record the data. Plan and send enquiries to various shipyards for the vessel’s due for docking. Follow up and correspond with shipyards to finalize the BW’s Standard Repair contract, Block deal agreement etc. Record copies of each Repair Contract agreements, Quotations and correspondences. Prepare Yard Comparison reports based on the quotations received, submit to Management for evaluation and decision making. Discuss with concerned Superintendent and Prepare Budget Reports for the Vessels due for docking and obtain approval from the Management and Principals. Prepare detailed weekly Cost-Update-Reports for Shipyard & Owners Arrangement to assist on site Superintendent(s) review. Prepare and send weekly Financial-Progress-Reports for Principals review during the refitting period of vessels at shipyard. On completion of repairs, assess the Shipyard draft invoice thoroughly based on the quoted price, delivery time and the remarks made by the Superintendents. Inform the Management about Minimum and Maximum value of the bill likely to settle with Yard. Negotiate with Yard for an amicable settlement. Prepare and send Initial Drydock Variance Reports and Final Drydock Variance Reports to Principals after liaising with Accounts Department and in line with General Ledger within the stipulated time. Liaise with Hull Superintendents to ascertain the major scope of work and prepare individual Vessels Forecast Reports on monthly basis and update docking schedule accordingly.  Download Running Cost Reports from BI for all the Bulk vessels on monthly basis, amend the cost reports and prepare the final Running Cost Variance Report for Superintendent’s review.   • Ensure Safe & high-quality docking of fleet ships• Monitor dry-dock timelines across fleet groups and follow up with fleet vessel managers to ensure preparation for the same with active update of five-year planning schedule.• Ensure accurate repair specification of the bulk carrier ships in coordination with various departments and ships to make sure defects are covered with required spares.• Ensure Technical and commercial gets maximum value from allocated drydock budgets and costs saving potentials are harvested.• Ensure vessels are docked at the most suitable and economical shipyard at the most appropriate time and in the most cost-effective manner• Drive and implement standardization of the dry-docking process across fleet groups in line with industry wide best practices including alignment of dry dock specifications• Effective involvement in contract negotiation with shipyard, bill settlement to attain the best possible savings for the company• Bulk order purchasing of stern tube seals, ME turbo charger, steering gear spares as required for the whole dockings in the financial year. • Ensure spares and services are ordered well in advance for each docking in liaison with docking & technical teams.• In-depth analysis of cost variation reports and learning from the projects are recorded.• Review various HPS paints for the hull, ROI, guarantee claims and support from the vendors, follow up on performance of fuel saving/claims related• Review and analysis of inner bottom paints to avoid excessive corrosion and to ultimately avoid steel renewal in the 3rd and 4th Special surveys. • Follow up with company’s insurers on H&M claims for the whole fleet• Dry-docking budget preparation that includes life time expenses of the ships, capex and Opex.
