      Job Description / Responsibility 1. Office Management• Monitoring support staff handling incoming and outgoing calls through PABX (Local & International) and monitoring and handle Front Desk• Monitor security system and manage gate passes of items leaving the office• Handle all kinds of official payments including Office rent and utilities bill payment, manage relationship with landlord, vendor and supplier bills, utility bills like telephone, electricity, leasing bills and other official bills• Office equipment disposal and sale at fair market value.2. Procurement Management.• Procurement of goods and services as per the procurement policy3. Asset management and maintenance of Asset• Maintain the office store & inventory.• Responsible for office asset & inventory• Maintenance of office stationery4. Vehicle Management• Keep record of and check and review vehicle requisitions by staff.• Keep record of Gas and fuel consumption of office vehicle(s)• Assist in updating Company vehicle fitness, Tax Token, Car Insurance.• 5. Manage Petty cash, and Visa & travel management• Visa processing for top level management and communicate with embassy/ high commission, local and international travel agent .6. HR• Ensure that accurate job descriptions are in place.• Assist in recruitment process• Prepare notices and advertisements for vacant staff positions• Schedule, organize and conduct employment interviews• Conduct reference checks of possible candidates• Provide assistance when conducting staff performance evaluations• Assist Head of HR & Administration to monitor all staff for performance• Assist Head of HR & Administrator in executing Plan of Action based on the result of Staff satisfaction survey.• Any other HR & Admin responsibility assigned by the Head of HR & Administrator Show less
