      Specific responsibilities:Office Management:• Act as Interpreter for the Team Leader and Support Staff members, as required.• On a daily basis keep all documentation properly filed and stored for easy retrieval.• Be responsible for the continuing functioning of the office’s computer system / network.• Maintain adequate office supplies in store and prepare the necessary purchase.• Ensure the smooth running of the office by taking care of all logistical requirements. In- and outgoing mails / documentation:• Assists the Team Leader by maintaining a logical filing system which has a parallel structure both for computer files and for hard copy files. • Processes all in- and outgoing mails and documents. All ingoing mails / documents will be registered on a daily basis.• Carrying out efficiently and expeditiously all typing and documentation work as required for the smooth functioning of the Central Office.IT management:• Maintaining of hardware and software; Maintaining of server and control systems.• Setting up network management systems whereby all files are stored on server.• Running weekly backup of server.• Maintaining internet access and printing facilities.Preparing minutes and monthly reports:• preparing minutes of meetings.• Assisting TL by preparing monthly/quarterly progress reports drafts.Logistical & staff support:• Manage the correct filling of time sheets of all people working on the project.• Maintain system for management - booking of vehicles.• Maintain an inventory file for the project (all office equipment, etc.).• Assist in purchase of goods, office supplies, etc.Financial management:• Maintain petty cash register.• Preparing monthly reconciliation statements of all income and expenditures duly allocated to the relevant cost ;• Having time sheets of all Experts (National and International) compiled by the 5th of the month for submission to Posch&Partners Tbilisi and PD.
