Mar 2006 - nowAs a Legal Analyst and Board Meeting Specialist, I am responsible for preparing and distributing meeting materials for the US Templeton Funds Board and the Joint Board meetings consisting of the US Franklin Funds, US Templeton Funds, and the US New Jersey / Alternative Strategies Funds' common agenda items. I work independently and collaboratively with various stakeholders, including company staff, management, outside counsel, and service providers, to collect, review, and compile reports into electronic formats. I use the Diligent Boards portal platform to create and maintain electronic materials. Acting as the Diligent Boards Administrator, I am responsible for requesting new user accounts, communicating directly with users to provide technical support and training to the team, management and board members. I ensure that the materials are designed and distributed according to the permissions and preferences of the recipients. As the team's technology expert, I keep myself updated on the latest technology trends and innovations, and lead the charge to bring new ideas to the team to improve the efficiency and quality of the work. Key Responsibilities• Created and maintain 2 complex tracking files for regular and special board agenda items and follow-ups. • Establish and maintain a process for the Board meeting cycles, including detailed instructions to cross-train team members• Co-Lead the US board team’s standups 2 times a week, and keep track of timelines and progress of the projects• Provide on-site support for the board meetings, and assist with any technical or logistical issues• Draft and review agendas, minutes, and memos for the board meetings.• Distribute and recordkeep service provider contracts for the US Templeton Funds• Prepare Power of Attorneys, Written Consents, Secretary and Officer Certificates, and Contract Amendments• Provide support as needed to attorneys in the legal departments of Fort Lauderdale, New York and San Mateo Show less Work independently and with a team to collect reports from all levels of company staff and management, as well outside counsel and service providers, monitor and participate in the review process, and compile them into both paper and electronic versions of meeting materials for the US Templeton Funds, their various committees and the Joint Boards of Trustees/Directors of the Franklin, Templeton and New Jersey / Alternative Strategies Funds while under hard deadlines. Produce smaller productions in-house, and for larger productions, developed and maintain a relationship with a local vendor while working closely and directing the construction of the hard copy materials. Expertly design electronic materials using the Nasdaq Boardvantage board portal platform, taking into consideration permissions of the recipient list. Established and maintain a process for the Board meeting cycles including detailed instructions to cross-train team members. Department point person for technology in general and company expert in Nasdaq Boardvantage. Continue education to enhance knowledge in technology, stay ahead of the curve and lead the charge to bring new ideas to the team.Other responsibilities include: leading the local team's weekly standups to keep timelines on target and ensure completion.
