      The Program Portfolio Director is responsible for the program and projects portfolio of the digital transformation in the Global Operations & Customer Care domain. The digital transformation is impacting solutions, processes, data and people. The Program Portfolio Director oversees the Project and Portfolio Management processes and is responsible for defining the project and program portfolio by categorizing, prioritizing and planning the portfolio and is responsible for monitoring the execution of the project and program portfolio of considerable complexity and scope.The Program Portfolio Director manages the overall project and program portfolio management from the identification of projects and programs to the closing of projects and programs. During the execution of projects and programs the Program Portfolio Director will assess the projects and program on quality assurance risk management, inter-dependencies, use of standard tools & implementation methodology, assessment of overall risks, schedule and budget data, action plans, lessons learned, achievement of project goals, objectives and benefits. Show less The Project Portfolio Management Office (PPMO) manages the implementation activities for a several large digital transformation programs currently running at Vopak to ensure IT programs and projects meet Vopaks objectives and strategy and the alignment of the full project portfolio in the complex global implementation. The permanent PMO supports the digital transformation portfolio. This includes upgrades, replacements, new initiatives, innovations and changes to existing applications. The PMO reports into the program board comprises of the COO, CIO and corporate directors.The digital transformation program comprises the replacement of the ERP system with Oracle Cloud; the replacement of the operational system with own developed software using Outsystems; upgrade of the operational maintenance system Infor; Improvements of the Workday application for HR and several other smaller IT initiative on automation, robotics, data science, innovation and machine learning. Responsibilities• Ensure that the portfolio is aligned to Vopak’s strategy and priorities.• Ensure the portfolio activities contribute to the bottom line value of Vopak and delivers the agreed benefits. • Work with the COO, CIO, corporate directors and program/project managers to define and implement the portfolio of programs and projects.• In conjunction with the business owners and program managers, create strategies for the effective planning and monitoring and delivery of the portfolio.• Prepares the digital transformation portfolio progress reporting to the Program Board and Executive Board on planning, budget, risks and benefits• Support decision making when issues arise in the implementation.• Support the portfolio and program director in the alignment of the projects and programs• Manage overall program dependencies and risks• Establish, maintain and implement the digital transformation methodology according to a variation of PPM, MSP and PRINCE2.• Member of several steering committees Show less Responsible for the Global Oracle Cloud ERP implementation in 20 countries at 63 locations.Vopak runs a Digital Transformation Program by implementing Oracle Cloud ERP and transforming the business to align with the established blueprint and new way of working.My main responsibilities as part of the project management office are:- Responsible for the implementation of Oracle Cloud ERP and the business transformation in 20+ countries at Royal Vopak, impacting the local P2P, R2R and A2R processes- Approximately 70 project employees are working full-time on the Oracle implementation and support- Manage a global program, rollout schedule, progress reporting, risks, interdependencies and implementation budget- Manage dependency and timing of master data integration and alignment with other IT project- Oversee Project Managers for the delivery of projects on time, within scope and on budget- Reporting to the Global Steering Committee- Manage the OCS roadmap in relation to the requirements prioritization and ensuring strategic digital initiatives are prioritized and delivered successfully.- Implementation of the portfolio, program and project structures across the standing organization (P3O) - Implementing program and project management approaches and good practice (MSP & PRINCE2 approach)- Providing centre-of-excellence programme and project delivery methodologies; processes and tools.- Provides best practice approaches in areas such as governance, resourcing, risk management and planning.- Providing leadership and guidance to delivery teams across the organization- Provide executive leaders with the information needed to assess which proposals have the highest potential value, impact, strategic alignment, project priorities and implementation opportunities Show less Vopak runs a Finance Transformation Program that replaces JD Edwards by Oracle Cloud ERP. The Implementation of Oracle Cloud also encompasses a new way of working to align with the strategic objectives of Vopak. Oracle Cloud will be implemented in 20 countries. Beside implementing Oracle Cloud, the project also encompasses the transition to a Global Shared Service Center. In 2015 the selection of a new software product took place. After this selection, the process redesign started. In 2017 the first pilot country, Germany, went live on the new way of working. In 2019 the US went live with Oracle Cloud together with the transition of the financial administration to the Global Shared Service Center. After the implementation of Germany and the US the Global implementation started by rolling out several countries in parallel, until all Vopak countries are live on Oracle CloudMain activities and responsibilities:- Selection of an ERP system to replace JD Edwards.- Redesign the Global Finance processes and governance to meet the strategic objectives - Standardize the Global Finance processes to gain maximum efficiency of Oracle Cloud.- Develop a global blueprint with all relevant stakeholders and Global Shared Services concepts.- Develop and implement a change management strategy and global implementation strategy-Implementation of Oracle Cloud in the Pilot location Germany-Implementation of the Oracle Cloud application in the US including the transition to a Global Shared Service Center- Supporting local project managers in the implementation of Oracle ERP in 20 countries- Responsible for the planning, day-to-day management and successful delivery on-schedule and on-budget of the Program- Engaging and managing third party delivery partners and vendors- Estimate project budget/planning/progress and present to the Global Steering Committee for approval / validation to proceed- Responsible for project closures Show less Manager Finance & Control of the Vopak Terminals North Netherlands (VTNN) organization and member of the management team. In total, VTNN has a storage capacity of 1,8 mln cbm and is one of the largest gasoline storage terminals in the ARA region.Finance activities and responsibilities are:- Setup a new organization for the newly built terminals, for Finance, Procurement and Customs- Manages and direct the financial administration done by the Shared Service Centre on G/L, A/P, A/R and F/A.- Ensure reliable monthly and quarterly reporting to internal stakeholders (Vopak) as well as to external stakeholders (Joint Venture Board and debt providers)-Coordinates the annual budget process and after approval ensures implementation, monitoring and advises on adjustments, in order to support the line management in the realization of business objectives- Develops and after approval implements and controls the Finance & Control plan, described in the CRSA, Holy list, Code of Conduct and Joint Venture agreement.-Coordinates the local in-/divestment proposal process and/or draft financial plans and analyses for in-/divestment proposals, in line with the global in-/divestment guidelines. Ensures after approval effective financial planning and control.ICT activities and responsibilities are:• Optimalization of ICT processes conform SLA’s and of the Vopak Terminals North Netherlands strategy.• Implementation and contribution of the Corporate Vopak ICT strategy and blueprint of Vopak Terminals North Netherlands.Customs activities and responsibilities are:• Managing and monitoring of completeness of permits and certificates.• Ensure customs compliance with the existing or future customs licenses.• Determining and managing liability for Vopak on import and excise duties.• Judgement on most favorable import values.• Declaration to customs.• Calculation of fees (and completeness of invoicing).• Managing customs files.• Managing the Stock control administration.
