Show less RESPONSIBILITIES: The overall task of the Administrative Assistant is to provide support and organizational services for Chamber and Experience Jackson. This person will serve as the front-line of communication for all Chamber and Experience Jackson activities. This person must be fully informed about Chamber, Experience Jackson and general Jackson community information, programs and activities and purposes and missions. Also, the person must be personable and welcoming in all communications (in person, over the phone, in writing, etc.).SPECIFIC DUTIES:• Providing clerical support for day to day operation of Chamber and Experience Jackson;• Answering all incoming calls no later than the second ring;• Assisting in membership and sales activities, including but not limited to processing paperwork, sending invoices and packets, verifying member information and collecting outstanding invoices;• Completing data entry for special projects;• Collecting, opening and distributing mail;• Assisting with general accounting, including mailing invoices and bills as needed;• Assisting with online presence;• Replenishing, creating and mailing Visitors Packets and Membership Packets as needed;• Attending and staffing trade shows and other public events to promote Jackson as appropriate;• Promoting Jackson: For Whatever Moves You and increasing the visibility of Jackson as a destination with specific ways to see, explore, taste, discover, play and enjoy Jackson including highlighting events and festivals, golf, birding and the wine trail;• Data entry and cold calling for special projects such as “Jackson Certified”;• Maintaining the general cleanliness and up keep of the office through regular removal of the trash and recycling, wiping down surfaces as needed and consistent replenishment of brochure racks.
