  - Document Scanning Project- Summary: Numerous contracts, communications, and court documents were kept in hard copy format (paper) and now need to be sorted, reviewed, and scanned into the Legal Department system folder for future review and retrievalPurpose/Importance:- Understand current obligations to our customers, suppliers, and government- Ensure company is meeting its contractual and legal requirements- Avoid future litigation, fines, penalties that cost the company money- Respond to legal inquiries (internal and external) in a timely manner- Reduce department resource time and costs- Expectation- Task/Project Specific- Go through each file folder and sort out the communications by the following:- Type of document (i.e., contract, amendment, e-mails, letters, court documents etc.)- Year document created (i.e., 1996, 2004, 2015, etc.)- Signature status of document (i.e., does the document contain signatures of both parties or only one party?)- Scan the sorted documents into pdf format- Save scanned documents to correct file folders using correct naming convention- Start with 3 file folders each week, increasing the amount until task completed- Follow proper naming conventions on documents Show less
