      I am currently the Executive Assistant to the Acting Director and Deputy Director (Operations) and administrative assistant for a medical research institute which has an annual operating budget of around $20 million, and approximately 300 staff and students. In this role I arrange all aspects of the Acting Director’s diary and also arrange meetings and large-scale events at the Institute (staff meetings, public lectures, travel and conferences). Other responsibilities in this role include:- Organise travel, schedule meetings, prepare itineraries, book transport and accommodation using UQ travel system and other relevant documentation- Draft, review, edit and format executive correspondence- Organise functions and meetings for the Institute Director, including organising venues, catering, invitations, and distribution of documents- Manage the diary and email of the Institute Director- Maintain accurate records of all Institute mattersI have also been acting project officer for a large-scale school outreach STEM program where regular travel to rural and remote locations was standard. Responsibilites in this role included:- Manage applications for, and interview, potential Young Science Ambassadors- Organise induction and training for incoming and existing Young Science Ambassadors- Draft, review, edit and format correspondence including applications for community grants and the annual report- Develop and maintain appropriate, streamlined procedures for the Wonder of Science program, particularly regarding communication with schools, ambassadors and sponsors/partners- Review and ensure web content is up-to-date and relevant, including developing and maintaining social media- Plan and facilitate regional student conferences in rural and remote locations Show less
