Jan 2005 - now1. Develop work plans, systems and processes to support the DVC ASA Office in the successful execution of strategic university business while upholding confidentiality and sensitivity. This includes prioritization of activities, working within deadlines and follow up. 2. Overseeing the administration and management of the DVC ASA Office which includes the Registrar’s Office with an emphasis on information management, coordination and quality control. 3. Providing comprehensive secretarial and administrative support to the DVC AA Office as well as the Committees Chaired by the DVC ASA and Registrar. This includes preparing and managing correspondence, report writing and presentations. 4. Managing the DVC ASA Office internal and external contacts, dealing with enquiries on their behalf and developing and maintaining strong working relationships. 5. Liaise regularly with academic administrative teams in the various academic units so as to effectively collect and collate information necessary for the DVC ASA. Such information includes but is not limited to minutes of faculty board meetings and other departmental minutes, reports required for preparation of DVC ASA reports to the MB and the UC, etc. 6. Effective briefing of the DVC prior to meetings, providing notes on a range of complex matters, papers or action checklists as appropriate.7. Preparation of Correspondence to Commission of University Education in relation to curriculum and other academic related documents.8. Coordinating all logistical matters pertaining to the University Graduation Ceremony 9. Development of the University Annual Academic Calendar in liaison with other academic units in the University and securing its approval and communication to all academic units. 10. Co-ordinates with all Quality Management System Representatives of the University to ensure that Quality Management System is maintained and controlled.2. Plans for Internal and External Audits and ensures they are carried out as per the schedule and also following up on areas of improvement.3. Maintains proper documents and records in a proper system in the Quality Assurance Office5. Ensuring that relevant customer satisfaction surveys are carried out.6. Assists the Director of Strategy in monitoring performance by gathering relevant data and producing statistical reports for accurate decision making7. Assists the Director of Strategy on developing strategy plans including work plans and follows up on implementations8. Assists in preparation of the department budget for resource allocation and control.9. Provides administrative support in all functions of the Quality Assurance Office.10. Assist in producing documents, reports and presentations to the Director of Strategy on quality implementation progress 11. Create quality awareness to new staff and other stakeholders on Quality Improvement as well organize and run trainings.12. Holding meetings with Quality Management Systems representatives and auditors in order to guide their departments on quality policies and procedures.13. Assists the Director of Strategy in developing an open system for the University for uploading all approved documents14. Facilitates and ensures training of staff is done on quality improvement15. Organizes and coordinates a Quality Week which held annually16. Assist the Director in producing Strategy and Quality monthly reports to the Management Board.
