Group Financial Accountant / Office Manager

      • Staff management of up to 10 internal staff, including overseeing and covering payroll for all 8 companies using IMS and backup for the same. External advice and direction given to other dealerships and their staff.• Group financial and Management monthly accounts, including monthly reporting to both the dealer principals of five entities and the group CEO. Ensuring that reporting was on time every month. Prioritising which entity to report first each month.• P&L and balance sheet reconciliation and reporting of each company as separate entities.• End of month comparisons of budgets and month end gross profits, overheads and profits of the entities and consolidation of the same.• GST, PAYE for each of the entities.• Communicating financial information daily, weekly, monthly to non-accounting managers. For example, ledger transactions, vehicle costs, GST implications, vehicle gross profits vs. estimates. • Monthly Shareholder interest calculations, inter-company interest reconciliations and recharges.• Monthly account accruals and reconciliation of the general ledger, vehicle gross profits and each departmental General ledger. Each dealership had a parts, service, vehicle, and administration general ledger that required reconciliation and consolidation. • Monthly spreadsheet comparisons for month end accounts and reporting once general ledger is reconciled. • Group vehicle Import payments with Currency online. Use of PMDS/Viaduct accounting systemsAchievements: GST accuracy was an issue with the number of entities, tracking returns and payments. I implemented a suspense account setup in the balance sheet for GST payments so the GST becomes easily tracked for each entity. This was especially helpful following the February earthquakes as payments were made late. The suspense account allowed us to track and follow-up on all outstanding interest payments. Other cross training changes for staff were Implemented also. Show less

      • Group Financial and Management monthly accounts, monthly reporting to individual directors and the banks that hold an interest in each of the companies. Arranging Overdrafts/facilities as required also with company bank managers.• P&L and balance sheet reconciliation and reporting of each company as separate entities, including monthly account accruals.• End of month comparisons of budgets, overheads and profit/loss of the entities.• GST, PAYE, RWT, FBT for each of the entities.• Communicating financial information daily, weekly, monthly to non-accounting managers including GL coding, GST implications, and daily cash forecasts.• Quarterly interest calculations and associated payments for family and intercompany loans to the property company.• Staff supervision of one and overseeing staff at offsite branch. Human Resource advice.• Use of Accredo, MYOB, Exonet and Scorepos POS system.• Monthly electrician efficiency reports, weekly sales reports, monthly sales year on year comparisons.• Customer Service and all onsite IT functions/issues.• Rental reviews of rented office space and company buildings within the portfolio.• Budgeting, forecasting and end of year accounts preparation, reconciliation and distribution to outside accountants. Daily, weekly and monthly cash forecasting.Achievements: There was no Profit & Loss run within Accredo for the Electricial company. I implemented this. It now takes ½ day allowing more efficiency and accuracy with timely reporting. The GST return was filed twice monthly and this took a day to calculate and balance the AP, AR and Cashbook. After I made some changes including running the P&L and changing the reporting frequency.Processing of Apprentice ECTO invoices became less time consuming and accurate after I implemented changes to how they were processed. I changed the AP entering process. This now saves the person who enters these invoices at least an hour per month and the reporting is more accurate. Show less

    • Penny Homes Ltd

      Mar 2014 - Feb 2015
      Administration Manager

      • Waged Labourer fortnightly payments and reconciliations.• Staff Management & Human Resource advice to staff.• Authorisation of weekly, twice monthly subcontractor and monthly creditor payments.• End of month general ledger reconciliations.• Cash forecasting - Daily, Weekly and Monthly to company directors.• EQR/EQC weekly job status reports.• Greentree accounting system, Builder Trend Build program and IMS payroll.• Weekly invoicing of new homes, overcap and EQC jobs completed and staged payments.• New homes build contracts for clients and IAG.• Reconciling Gross Profit on home builds – open and closed builds.• Liaising with EQC/EQR regarding home repairs.• Accounts receivable reconciliations and follow-up of outstanding accounts.• Daily bank statements and reconciliations.Achievements: Reconciling old EQC payments and setting up a new way to allocate the retentions withheld from the weekly payments received. This enabled us to better track which retentions were outstanding per job with each hub.Setting processes in place for Accounts Payable that helped the project managers and new accounts payable clerk track manage more efficiently her time. These systems were streamlined so better tracking was in place and deadlines were met easier. This meant better timing of invoices to project managers as well as the operation’s manager and then also eventual payment.I took on more responsibilities over a time while in this role. Originally all of the bank statements, general ledger reconciliations and cash flow reporting were handled from Taupo. I took this over as part of my role in Christchurch. I built up a positive team spirit within the admin team there and as the culture within the company was not as it could have been, this was hugely important to this small team. We had part time casual staff that benefited from this as well. Show less
