      Program administrator

As a Program Administrator at InformAction Limited, I provided high-level executive support to the leadership team. This included the Executive Director, Deputy Director, and Senior Management Team. One of my key accomplishments was supporting the Election Centre during the 2017 Kenyan elections. This critical initiative was part of the "Kura Yangu Sauti Yangu" consortium, a collaboration between KHRC, Africog, InformAction, CRECO, and others. I was the vital link between the Independent Electoral and Boundaries Commission (IEBC) and KYSY. My duties included securing election observer badges for the team, circulating press releases to keep stakeholders informed, and actively participating in the observation process. I also closely monitored poll results and assisted with data tallying efforts, all contributing to a successful and transparent election.Beyond elections, I consistently provided research support to the team for reports and publications produced by InformAction, ensuring the accuracy and quality of the information we disseminated. My administrative and logistical skills were also crucial for supporting staff involved in various projects, initiatives, and programs within the IFA secretariat.A particular highlight of my role was coordinating operations across IFA's six regional offices, spanning at least thirty counties. Program support specialist - democratic governance and rule of law program

In my role as a Program Support Specialist for the Democratic Governance and Rule of Law Program at the Open Society Foundations, I wore many hats to ensure the program ran smoothly. I played a crucial role in supporting the development and implementation of core program policies, strategies, and procedures. This meant being heavily involved in the grant-making process from start to finish.I worked closely with the program team to identify promising grantees, finalise their applications, and enter all the data into our internal grant management system, Salesforce. This allowed for efficient tracking of grants and reports. I also played a crucial role in ensuring all grants adhered to our established procedures at every stage – receiving applications, conducting thorough assessments, securing approvals, processing disbursements, and collecting grantee reports – all within set deadlines.Another major responsibility was maintaining an up-to-date grant-making database. I managed the Salesforce database, generating reports that built a valuable information hub about our grantees. I also served as the first point of contact for any incoming funding requests, kicking off the initial interaction with potential grantees and keeping them informed throughout the process. As a support to the Program Manager, I administered a grant portfolio with a significant annual budget of $7 million. Partnering with the finance team, I ensured timely and accurate grant payments while adhering to all financial regulations. Additionally, I'd prepare consultancy contracts, process expense reports for consultants, and even coordinate their travel logistics. Finally, I collaborated with program officers to conduct research and compile high-level reports on program findings and progress. These reports were instrumental in informing and shaping our overall programming strategy. Show less

I verified that grant disbursements were made according to approved project milestones and maintained detailed records for audit purposes. To safeguard compliance, I developed and maintained a comprehensive checklist for grant-making procedures. Regular reviews ensured we were always adhering to the latest regulations.I played a vital role in financial transparency by generating budget reports for both internal and external stakeholders. These reports provided valuable insights into how funds were used and identified variances. I also offered budgeting support. I monitored the organisation's overall grants and operations budget, guaranteeing its accuracy and alignment with approved cost centres.I also provided logistical support for Investment Committee meetings (agendas, documents), partner visits, donor meetings, and staff retreats (venue selection, travel, accommodation).Additionally, I provided crucial support for the grant application process. This included assisting in the preparation of pre-read documents and ensuring that all essential information was included.
